Integrating systems to enable data flow

Manual exports, duplicate entries, and systems that don’t communicate with each other—it all takes time, causes errors, and hinders growth. Factor Blue builds integrations between ERP, online stores, CRM, PIM, WMS, and marketing tools.

//01 — Why integrate?

Data that doesn’t flow works against you.

Every organization works with multiple systems. Your ERP manages inventory and finances. Your online store processes orders. Your CRM tracks customer contacts. Your marketing tool runs campaigns based on behavior. As long as these systems operate independently of one another, everyone is working with different data at different times. This leads to errors, delays, and manual work that shouldn’t be necessary.

Integrations eliminate the need for manual work. Orders received in your online store are automatically sent to your ERP. Changes in inventory levels at your warehouse are immediately updated in your store. Customer data recorded in your CRM is available in your marketing tool for your next campaign. In real time, without any manual intervention.

And there’s a second reason why system integration is more urgent now than ever: AI. Virtually every AI application—from personalized recommendations to predictive analytics—works effectively only if the underlying data is clean, up-to-date, and centralized.

Those who integrate their systems now are laying the foundation for what AI will make possible tomorrow.

Our work is supported by a strong network of technical partners, complemented by expertise in e-commerce and technology that we continuously develop and refine.

//02 — What do we integrate?

From ERP to marketing tools

We integrate the systems that keep your organization running. Every integration project starts with a specific process that isn’t working properly right now. Below are the four categories we most frequently address.

ERP & Accounting

SAP, Microsoft Dynamics, Exact, AFAS, Unit4—we integrate your ERP with the rest of your digital landscape. Orders, invoices, inventory, customer data, and products are synchronized across systems. No more manual exports, no delays between ordering and processing.

E-commerce platforms

Magento, Shopify, Shopware, WooCommerce—we integrate your online store with your backend systems. Products are automatically updated from your ERP or PIM. Orders are routed to your warehouse or logistics system. Inventory levels are accurate in real time. The online store is the public face of your business; the integration is the engine behind it.

Marketing, CRM & Customer Data

HubSpot, Salesforce, Klaviyo, Spotler, ActiveCampaign—we connect customer data and behavior to your marketing tools. This ensures your marketing runs on up-to-date data from your operational systems, not on a weekly export. Customers who make a purchase will see that reflected in their next email. Customers who drop off are automatically followed up with.

Systems without an API

Not every system has a modern REST API. We also integrate older ERP systems, legacy custom software, and supplier feeds via EDI or FTP. We do this via file exchange, SFTP, EDI, or an intermediary layer that compensates for the lack of an API. No system is too old to integrate.

//05 — Customer Feedback

Real customer experiences

Choosing a new technical partner isn’t something you do lightly. That’s why we let our clients and partners share their experiences working with us.

TELL US WHAT'S GOING ON

We’re the technical team that lies awake at night worrying about your uptime, your performance, and your next steps. Not as a contractor. Not as a supplier. But as the people who have just as much at stake in your success as you do.

You tell us what’s going on; we’ll tell you what we see.

//07 — Our Approach

From the initial consultation to
a working integration

01.

Analysis & Data Flow Mapping

We start by mapping out your system landscape: which systems do you have, what data needs to go where, how often, and in which direction. Based on that, we determine the best architecture using Alumio, directly via API, or a combination of both.

02.

Technical Design

We document the data flows, transformation rules, and error-handling logic before we start building. Which fields map to which fields, how do you handle conflicts, and what happens if a system is temporarily unavailable? This prevents surprises halfway through the project.

03.

Development & Testing

Our engineers build the integration and test it with real data. They test not only the “happy path,” but also edge cases: empty fields, duplicate records, time overlaps, and incorrect entries. An integration that only works when everything is perfect simply isn’t reliable enough in practice.

04.

Launch

We’ll test the system together with you and your team so you can see how the integration works and what happens if something goes wrong. The go-live process is carefully managed.

05.

Monitoring & Data Care

After going live, we actively monitor the integration. Failed runs, timeouts, and changes to data formats—we’ll flag them before you even notice. Our Data Care model includes ongoing management and further development.

//08 — Frequently Asked Questions

Frequently Asked Questions
about integrating systems

Frequently Asked Questions. Can’t find your question here? We’d be happy to answer it personally.

01. What is the difference between a direct API connection and an iPaaS such as Alumio?

A direct API connection is code that connects two systems directly to each other. This is a fast and cost-effective solution for simple, stable connections. An iPaaS such as Alumio adds a managed middle layer: you have insight into every data transaction, error messages are immediately visible, and integrations are easier to adjust without having to dive into the code.

Alumio is the better choice when dealing with multiple systems, complex transformation logic, or if you want your own team to be able to monitor and maintain the integration themselves.

Factor Blue recommends the approach that is most maintainable and cost-effective for each specific situation.

We build the configurator ourselves. You provide the 3D models of your products in a standard format such as GLTF, OBJ, or FBX, or you can have them created by a specialized 3D modeling company.

We advise on the technical requirements the models must meet and collaborate with your 3D vendor as needed.

Don’t have 3D models yet? We’ll help you find the right partner.

Yes. Not every system offers a modern REST API—especially older ERP systems, industry-specific software, and custom applications. We also integrate via SFTP, EDI, XML file exchange, or by building an intermediate layer that makes the system accessible.

This approach is less elegant than a direct API integration, but the result is the same: data that flows automatically without manual effort.

Systems change: suppliers update their APIs, data formats are modified, and new required fields are introduced. An integration that works perfectly at launch can stop working months later due to a change in one of the connected systems.

Through our Data Care model, we actively monitor integrations, respond to error messages, and ensure compatibility during system updates. You’ll receive a notification if anything goes wrong.

AI applications—ranging from personalized product recommendations to predictive inventory management and automated customer segmentation—only work effectively if the underlying data is clean, up-to-date, and centralized.

An organization where orders are stored in the ERP, customer data in the CRM, product information in a PIM, and marketing behavior in a separate system cannot run reliable AI analysis on that combined data.

System integrations ensure that these data sources communicate with each other in real time and that data becomes available in a single central location for analysis and AI models.

Those who invest in integrated data flows now are laying the foundation for AI applications that will be commonplace in two years.

Alumio is ISO 27001-certified and compliant with the GDPR. Data traffic via the Alumio platform is transmitted and stored in encrypted form.

Alumio provides full logging of every data transaction: you can see what was sent, received, and processed, and when. This makes audits and troubleshooting simple and verifiable.

For customers with specific data security requirements—for example, in the healthcare or financial sectors—Alumio offers configuration options for regional data storage and comprehensive access control.

Factor Blue configures the security settings in coordination with the client’s IT and compliance teams.

Many integration projects start with a vague sense that something isn’t right: data is incorrect, employees are doing duplicate work, or systems aren’t communicating with each other. You don’t need to know exactly which integrations you’ll need in advance.

An integration project at Factor Blue always begins with an analysis of the current system landscape: which systems are you using, what data is currently being moved manually, and what are the key processes that are getting stuck.

Based on that analysis, we create a data flow overview and propose a priority order.

This way, you’ll know—before development begins—what the integration will deliver, how long it will take, and what it will cost.
