AI Workflow Automation
We build intelligent workflows that connect your systems, make data-driven decisions, and execute tasks without human intervention—or with human oversight when necessary.
//01 — What is AI workflow automation?
AI workflows that reason, decide, and act.
Traditional workflow automation operates on fixed rules: if X happens, then do Y. That works for simple, predictable processes. But most business processes are neither simple nor always predictable. A customer inquiry has context. An order has exceptions. A report requires interpretation. AI workflow automation goes beyond fixed rules—it adds a layer of intelligence that understands context, recognizes exceptions, and makes decisions based on what the data reveals.
An AI workflow can read an incoming customer inquiry, classify it, retrieve the relevant order data, formulate a response in the appropriate language and tone, and either send that response or escalate the inquiry to an employee if the situation requires it. Another workflow can compile the daily sales report every morning, flag any deviations from expectations, and send a summary to the manager in charge—all without anyone having to lift a finger.
Factor Blue builds these workflows with native AI agent integrations, full data stability, and the ability to host workflows in your own environment.
We connect your existing systems to the same systems we already link via Alumio and direct API integrations, and add the AI layer that makes the workflow intelligent.
Our work is supported by a strong network of technical partners, complemented by expertise in e-commerce and technology that we continuously develop and refine.
//02 — What do we build?
Four types of AI workflows we build
From order processing to internal processes—AI workflows for processes that are currently handled manually.
E-commerce & Order Workflows
Incoming orders are processed automatically: inventory is checked, fulfillment is triggered, tracking information is sent, and exceptions are flagged. Return requests are received, reviewed, and processed without manual intervention. Price changes in the ERP are automatically reflected in the online store. Stock thresholds automatically trigger purchase orders. The online store and the ERP operate as a single system without anyone having to manually transfer data.
Customer service workflows
Incoming customer inquiries are automatically classified by topic and urgency. Standard questions about order status, delivery times, and return policies are answered by an AI agent that has access to the latest order data. Complex questions or complaints are immediately forwarded to the appropriate employee with the relevant context already summarized.
Reporting Workflows
Daily and weekly reports are automatically compiled from multiple sources—including the online store, ERP, marketing, and finance—and sent to the right people at the right time. Anomalies are flagged and explained: not just a graph showing a decline, but an AI analysis of what’s likely going on.
Internal processes
Quote requests are automatically processed and converted into draft quotes. Onboarding new customers or employees is handled through automated workflows that trigger the right actions in the right systems. Invoices are verified, matched, and prepared for payment. Documents are automatically classified, summarized, and stored. Processes that currently take hours now take only minutes.

//07 — Our Approach
From the initial consultation
to a working AI workflow
Process Analysis
We start by analyzing your current processes: which tasks are repeatedly performed manually, where do errors arise due to manual work, and which processes are best suited for automation. We prioritize based on time savings, error reduction, and strategic impact.
Workflow Design
We map out the workflow: which steps, which decision points, which systems are involved, and where the AI layer is located. We determine where full automation is possible and where human intervention is still required. The design is approved before we begin building.
Development
We build the workflow in n8n and integrate all relevant systems. We configure the AI agents with the appropriate data sources and prompts. We test edge cases—such as what happens if an order is incomplete, a customer email arrives in French, or a system is temporarily unavailable.
Testing
We test the workflow with real data and real-world scenarios—not just the “happy path,” but also the exceptions. We validate that the AI layer makes the correct decisions and that escalation to a human works when necessary.
Go live
The workflow goes live. We actively monitor for errors and exceptions and make adjustments where actual results deviate from the assumptions in the design. Workflows improve as they process more data, and we guide that ongoing development.
//08 — Frequently Asked Questions
Frequently Asked Questions
about AI workflows
Frequently Asked Questions. Can’t find your question here? We’d be happy to answer it personally.
01. Which processes are best suited for AI workflow automation?
Processes that are well-suited for automation share several characteristics: they are repeated regularly, they use digital data that is already available in systems, and their decision-making logic can be described, even if it is complex.
Order processing, customer communication on standard topics, report generation, data synchronization between systems, and document processing are common examples.
Processes that are less suitable for full automation are those where human judgment is indispensable: complex complaints with emotional implications, strategic decisions, and situations where the context is so unique that a fixed workflow is insufficient. For those processes, we build hybrid workflows in which AI does the preliminary work and a human makes the final decision.
02. How can I ensure that an AI workflow doesn’t make mistakes that affect customers?
No automated workflow is error-free; the question is how to catch errors before they have consequences.
We build multiple layers of error handling into every workflow: validation checks on input data before an action is executed, fallback logic if a system is unavailable, and escalation paths to a human for situations the workflow cannot handle with confidence. For customer-facing workflows, we always include a review step for messages that fall outside normal parameters—such as an unusually high amount, language that the model doesn’t handle well, or sentiment indicating a serious complaint.
Post-deployment monitoring identifies error patterns so we can continuously improve the workflow.
